Terms and Conditions 

Below are the Free Bird Associates Terms and Conditions and need to be read in conjunction with our other policies.

Location and Equipment 

The venue will be one that is mutually acceptable to both parties. With appropriate accessibility, considerate of delegates and facilitators needs in line with duties under the Equality Act 2010.

Free Bird Associates will in general provide all necessary equipment. Power point when used will be emailed to the delegates after the workshop. If power point cannot be used alternative methods will be sort, any additional costs will be replicated within the quote submitted.  

Fees

These will be agreed upon as detailed in the working agreement. Changes to the programme at the request of the commissioner will be met as appropriate. If additional costs are to be incurred as a result of requested changes the contract agreement document will be reviewed and updated accordingly. 

Cancellation

By the commissioner: Over a month notice no charge between 30 – 14 days notice 25% of fee. 14 days or less notice of cancellation 100% of agreed fee will be payable.

By Free Bird Associates: Free Bird associates will always attempt to fulfill commitments. However, if the facilitator is unable to attend a colleague will replace them in the first instance. If this is not an option as a colleague is not available the workshop will be rescheduled at a mutually convenient time. If it is less than 14 days notice Free Bird Associates will reduce the fee by 10%.          

Monitoring and Evaluation

Free Bird Associates monitors and evaluates every workshop we facilitate. This is either from end of session sheets or more detailed longer termed evaluations. These evaluations will be reflected upon and a report will be written for commissioners as agreed in the working agreement. 

Reportsand Ownership of Intellectual Property

All reports and intellectual property are owned by Free Bird Associates. However, distribution of any material will be agreed upon in the working agreement such as power points, to support the transfer of learning into practice but credit to Free Bird Associates will be expected in these circumstances. 

Confidentiality; Disclosure of Information; Freedom of Information Act 2000

Contract Information will remain confidential with the exception of final records. The evaluation reports will not contain any personal or identifiable information. However, as detailed in our Safeguarding policies appropriate referrals will be made if we have cause for concern of the welfare of a child, young person or adult at risk.

Data Protection

Free Bird Associates will keep information that identifies individual delegates for the soul purpose of sending jing instructions for the course they are booked on. However, copies of our quotes and invoices will be kept for financial reckoning. These will only be shared on a need to know basis and are kept secured electronically.
